2012/13 Registration System

After a great deal of discussion, study, listening and negotiation it has been decided that Youth Leagues USA, now known as Group Net Solutions, will again be the provider of our registration system starting with the 2012-13 seasonal year. In a survey of our member rec and travel leagues, an overwhelming majority, nearly unanimous, supported this direction.

The primary function of the registration system is for travel registration. The system must be able to make sure our travel registration rules are applied to all travel teams and travel players. We strongly recommend that our rec leagues also require their member clubs to use the system, as the needs are similar, absent the need to print passes. Group Net has built the rec league needs into their system’s programming. For travel, League-only rosters, tournament team registration, direct player registrations and import players will be more simply and clearly managed through the new system as well.
Travel clubs and rec clubs will be able to use whatever vendor they wish to actually register their players with their club. Then the club registrar will upload the teams and players into the state Group Net system at no charge. The club will pay the Eastern Pennsylvania team and player fees to the travel league or rec league. For those clubs which choose to have their parents register their club players through the club Group Net system, data will be transferred into the state’s Group Net system with the click of a button. For clubs that decide to use another vendor for club data, the data can be easily uploaded into the Group Net state system.

With the Group Net system, Risk Management will be readily available through the EPYSA.org under Membership Services. All organization officers and all coaches will need to complete their Risk Management before being enrolled in the system. Each organization will once again be able to complete an RG-1 to tell us your organization is returning to Eastern Pennsylvania Youth Soccer to start the 2012-13 seasonal year. On the RG-1, one person should not fill more than two of the required positions.

There are features in the Got Soccer system that many of us have enjoyed. These key features–uploaded photos for printing on passes, secure upload for birth certificates, simplified usernames and passwords, registrar names and stamps printed on passes and rosters, etc.– will be included in the Group Net System. To be fair, Got Soccer did make significant efforts to meet our requests. Over the past three weeks, they have made changes which we had requested and several discussions have been held in order to bridge any gaps. They have been forthright in what they cannot address either in our time frames, or if they can at all. Group Net can meet all of our needs and has already documented them in contract form.

With Group Net:

Each player will have a single player ID number regardless of how many teams or clubs he plays for.
Our audit rules will again be enforced for travel — a player will be primary on only one team, etc.
Once a league registrar has approved a travel team, all roster changes will be performed under our PS-1 rules with auto e-mail notification to involved parents, coaches, and registrars.

Got Soccer had difficulty providing us with these features and expected our registrars to manually monitor the system for compliance in these areas. With Group Net, the monitoring will be done automatically by the system insuring compliance with our rules and increasing registrar efficiency.

The intramural leagues, now as always, are free to decide just what vendor and system they want to use to register their players. The important thing for them is that the intramural league must then register those players with the state association by providing us with the electronic database of their players and the appropriate fees.

The ability to upload data from your chosen system in to ours will be available. At the club and intramural levels, it was a great concern that the pricing structure from Got Soccer for the club system was not amenable and would force player costs to rise. Group Net offers a solution that is extremely affordable. More information will be made available soon so you can contact Group Net directly.

A concern to be addressed is the transfer of the data in the Got Soccer 2011-12 databases to the Group Net 2012-13 databases. Our mission is to minimize the effort and time required in a conversion. Group Net, as our prior provider, has our 2010-11 database and will carry it forward in the reconstruction of the 2012-13 system. We estimate that 80% or more, of that data will be valid for 2012-13. We will work with Got Soccer and through additional means as necessary to carry forward the 2011-12 data into the 2012-13 databases.

It is not lost on anyone involved in this decision that many hours were spent on converting to and learning the Got Soccer system. All of us have spent far more time than we imagined on the issue over the past ten months. Our goal in this endeavor was to improve our process. I regret that we did not necessarily do that, and its extra time spent, none of us will get back. But it’s time to move forward. Group Net provided us with a capable system in previous years, one we were content with. In our attempt to improve with another vendor, they took the opportunity to improve as well. In general, we were, and are, familiar and comfortable with their system and now we will have an upgraded version. The time needed to re-learn or familiarize ourselves with Group Net should be minimal in comparison to last year. Training sessions will be scheduled at the Workshop on March 3rd. Additional sessions can be scheduled as necessary. In addition, Group Net has always had a positive record on service response time of 24 hours or less.

The work begins now. Group Net will have the system ready for travel leagues within 30-60 days. We will have time to test. We have had registrars from a few leagues volunteer to be testers. We still will be working with Got Soccer through the end of the 2011-12 playing year. There are still issues to work through. We believe we will be able to manage well enough to complete the remainder of the term with Got Soccer and serve the needs of the membership.

Spring 2012 Registration Now Open!

If you were not registered for the Fall 2011 Season, there is an additional $25 fee to register. Plus, a $30 fee at the Smurf and U8 level for uniform kit. U13 and Up Teams may have additional costs if placed in Premier or Division 1.

REGISTRATION FORMS/FEES FOR U9 AND UP: Any player registering after January 15, 2012 and before January 31, 2012 will be considered LATE and a $20.00 late fee and placed on a waiting list for possible team placement due to team roster availability. All uniforms must be paid for and ordered by March 1 to guarantee arrival for the start of the season. Please contact Amy at uniforms@camphillsoccer.org to order.

REGISTRATION FORMS/FEES FOR SMURF AND U8: Any player registering after January 31, 2012 and before February 26, 2012 will be considered LATE and a $20.00 late fee and will be assessed.

BIRTH CERTIFICATE: If your child has NOT played for the CHSC previously, you need to supply a COPY of their birth certificate to CHSC, PO Box 1484, Camp Hill, PA 17001.
